Generating Detailed Reports

This guide explains how to use the report generator in OneClickWorker to create customized reports for analyzing your recruitment activities.

Accessing the Report Generator

  1. Log in to your OneClickWorker account at https://app.oneclickworker.com/
  2. Navigate to the Reports section from the main navigation menu
  3. Scroll down to the "Generate Detailed Report" section below the Jobs Pipeline chart

Report Generator Form Fields

The report generator form contains several fields that allow you to customize your report:

Start Date

  • Purpose: Defines the beginning of the time period for your report
  • Format: Calendar date picker (YYYY-MM-DD)
  • Default: One month before the current date
  • Required: Yes
  • Notes: Choose a start date that gives you enough historical data for meaningful analysis

End Date

  • Purpose: Defines the end of the time period for your report
  • Format: Calendar date picker (YYYY-MM-DD)
  • Default: Current date
  • Required: Yes
  • Notes: Typically set to the current date for up-to-date reporting

Report Type

  • Purpose: Determines whether the report covers the entire organization or a specific team member
  • Options:
    • Organization: Includes data for all team members
    • Team Member: Filters data for a specific individual
  • Default: Organization
  • Required: Yes
  • Notes: Use "Organization" for overall performance and "Team Member" for individual assessment

Report Category

  • Purpose: Specifies which type of data to include in the report
  • Options:
    • Clients: Client acquisition and relationship metrics
    • Jobs: Job posting and recruitment process metrics
    • Candidates: Candidate acquisition and pipeline metrics
    • Recruitment Fees: Financial performance metrics
  • Default: Clients
  • Required: Yes
  • Notes: Select the category most relevant to your current analysis needs

Team Member

  • Purpose: Specifies which team member's data to include when "Team Member" is selected as the report type
  • Format: Dropdown menu of available team members
  • Visibility: Only appears when "Team Member" is selected as the report type
  • Required: Yes (when "Team Member" is selected)
  • Notes: The dropdown is populated with all team members in your organization

Generating a Report

To generate a detailed report:

  1. Set the desired date range using the Start Date and End Date fields
  2. Select either "Organization" or "Team Member" as the Report Type
  3. If "Team Member" is selected, choose a specific team member from the dropdown
  4. Select the Report Category you want to analyze (Clients, Jobs, Candidates, or Recruitment Fees)
  5. Click the "Generate Report" button
  6. Wait for the report to be generated (this may take a few seconds)

Understanding Report Results

After generating a report, the results will appear below the form. The content varies based on the selected category:

Clients Report

The Clients report includes the following metrics:

  • New leads added: Number of new client leads added during the selected period
  • New leads contacted: Number of leads that were contacted during the selected period
  • Sales meetings: Number of meetings held with potential clients
  • Contracts signed: Number of new client contracts finalized
  • Total active clients: Number of clients with active jobs in the past 12 months

Jobs Report

The Jobs report includes the following metrics:

  • Total jobs listed: Number of job listings created during the selected period
  • Total applications: Number of applications received for all jobs
  • Avg applications per job: Average number of applications per job listing
  • Total virtual interviews: Number of virtual interviews requested
  • Total human interviews: Number of human interviews completed
  • Total placements: Number of successful candidate placements
  • Placement percentage: Percentage of jobs that resulted in a successful placement

Candidates Report

The Candidates report includes the following metrics:

  • Total candidates: Total number of candidates in your database
  • New candidates added: Number of new candidates added during the selected period

Recruitment Fees Report

The Recruitment Fees report includes the following metrics:

  • Total recruitment fees: Total monetary value of recruitment fees generated
  • Average fee per job: Average fee amount per job listing

Saving and Sharing Reports

The current version of the report generator does not include functionality to save or export reports. To share report data:

  1. Use your browser's screenshot functionality to capture the report
  2. Copy the displayed metrics manually into another document
  3. Share the information via your preferred communication method

Best Practices for Report Generation

  • Consistent Time Periods: Use consistent time periods (e.g., monthly, quarterly) for easier comparison
  • Compare Team Performance: Generate reports for different team members using the same parameters to compare performance
  • Category Rotation: Regularly review all four report categories to maintain a comprehensive view of your operations
  • Strategic Planning: Use reports at the beginning of planning cycles to inform your recruitment strategy

Troubleshooting

If you encounter issues when generating reports:

  • No Data Appears: Verify that there is activity within the selected date range
  • Error Messages: Note any error messages and refresh the page before trying again
  • Team Member Not Listed: Ensure the team member has the correct role and permissions in the system
