Guide to viewing, tracking, and managing applications for your job listings in OCW
Managing Job Applications
This guide explains how to view, track, and manage applications for your job listings on the OneClickWorker platform.
Table of Contents
Accessing Job Applications
To view applications for a specific job:
- Navigate to the "My Jobs" page from the main navigation menu
- Find the job you want to review applications for
- Click the "View Applications" button at the bottom of the job card
- This will take you to the applications page for that specific job
Note: The number of applications received is displayed on the job card next to the "Applications" label.
Understanding the Applications Dashboard
-
Note that if you decided to use automations, the settings that control what happens automatically are in the job creation form and can be accessed by clicking the edit icon of the job listing.
-
The job applications dashboard uses a pipeline review, also known as kanban or stages. Candidates that apply for a job through the job listing will be automatically placed in the New Applications stage. Candidates that are added through the Candidates section (go to Candidates in the main navigation menu) will be added to the Sourced stage.
-
You can manually move job application cards from one stage to another by dragging and dropping them. If you've enabled automations (the job is a One Click Job or OCJ), the job cards will automatically be moved to the next stage each time each automation runs.
-
Each job application card contains various badges. You can click on them to view available information about the job application:
-
Resume badge: Click to view the résumé of the candidate.
-
Cover Letter: Click to view the cover letter of the candidate.
-
Psychometric: Click to view the results of the psychometric test of the candidate. Note that candidates will be required to create an account and complete the test in order for this to be visible.
-
Job Fit Score: Click to view the job fit report for the candidate. This will include a job fit score that rates the candidate based on their resume, cover letter, and how well they fit the requirements from the job description. If the badge for the job fit is not visible, it's because the automation has not run. The automation will run when the candidate meets the criteria set when you created the job listing. For example, if applicants are required to complete a psychometric test and the candidate chooses not to complete the psychometric test, then no job fit score will be generated. Automations require a Plus plan.
-
Invite to VI: VI means Virtual Interview. Invitations can be automated or they can be triggered manually. If you set up an automation when you created the job, candidates that meet your criteria will be selected automatically and an invitation to complete a virtual interview will be sent automatically. The job application card for these candidates will be automatically moved to the 'VI Requested' stage. If you would like to manually invite a candidate to do a virtual interview, click the 'Invite to VI' button. This will trigger a notification that will be sent by email to the candidate with instructions about how to proceed. After invitations to do a virtual interview have been sent, the button will change from 'Invite to VI' to 'VI Requested' and it will be grayed out.
-
VI Transcript: When the candidate has completed the virtual interview, a new button called VI Transcript will be visible on the job application card. You can click it to view a transcript of the virtual interview.
-
View Video: When the candidate has completed the virtual interview, a new button called View Interview will be visible on the job application card. You can click it to view the video recording of the candidate when they were completing the virtual interview.
-
Interview Manager: Clicking on the Interview Manager button will open the Interview Manager which allows you to use AI to generate interview questions that have been specifically customized for your specific job description and the specific resume of the candidate. These questions can be used for your human interview. If you choose to record your human interview, you can also upload an MP3 file in order to generate a transcript of the interview. The AI analysis tools in all parts of the platform can access transcripts from virtual interviews and human interviews. If you choose not to record your human interview, then the AI analysis tools will only consider the available data relating to the virtual interview.
-
Final Job Fit Report: The final job fit report is slightly different from the initial job fit report because it incorporates a brief analysis and a score relating to the candidate's interview performance. The report will be generated after the deadline for interviews has passed and the relevant job application cards will be moved to the Final Job Fit Report stage.
-
Successful Candidate Selection: If you chose to automate the selection of the successful candidate, the job application card will be automatically moved to the Successful Candidate stage, and an email will be automatically sent to the successful candidate to inform them that they have been successful and provide any other instructions that you included when creating the job.
