Quickstart Guide

Intro:
Manage job applications in OCW using a visual pipeline. Review applications, move candidates through stages, view reports, and use automations for shortlisting and outreach.

Step-by-Step Guide:

  1. Click Jobs > My Jobs and select the job you want to manage.
  2. View the number of applications received (bottom left of the job card).
  3. Click View Applications to see all applications for the job.
  4. Use the job application pipeline to drag and drop candidates between stages.
  5. Review application details using the badges/buttons (resume, cover letter, psychometric, job-fit report, outreach, reject, regenerate job fit, Invite to VI, VI Transcript, View Video).
  6. Use Invite to VI to manually invite candidates to a virtual interview, or let automations handle invitations for top job-fit scores.
  7. Use VI Transcript and View Video to review virtual interview transcripts and recordings (when available).
  8. Use the Interview Manager for generating human interview questions and uploading interview transcripts.
  9. Review initial and final job-fit reports (final report includes interview performance).
  10. Use the Candidate Explorer to compare candidates using AI (optional, up to 5 candidates).
  11. If automations are enabled, the platform can auto-select and notify the successful candidate based on job-fit scores and interview completion.
  12. Customize rejection emails and job-fit settings in HRO > Org > Templates/AI Settings.

Q: Why don’t I see all applications for a job?
A: You may need to scroll right in the applications view. Applications from job listings appear in the Applications stage; manually added candidates appear in the stage you set.

Q: What is the job application pipeline?
A: It’s a visual workflow where you can move candidates through stages (e.g., Applications, Shortlist, Interview, Offer, Rejected).

Q: How does shortlisting work?
A: You can manually shortlist by dragging cards, or enable automations to shortlist candidates with the highest job-fit scores.

Q: What is the Invite to VI button?
A: 'Invite to VI' lets you manually invite a candidate to a virtual interview. If automations are enabled, top candidates (by job-fit score) are invited automatically.

Q: What is VI Transcript?
A: This button appears when a candidate completes a virtual interview. Click it to see the transcript of their interview.

Q: How do I view the video of a virtual interview?
A: Click the 'View Video' button on the application card to see the candidate's recorded interview. Audio from the interviewer may not be available due to browser privacy settings.

Q: What is the Interview Manager?
A: The Interview Manager helps you generate custom human interview questions and upload interview transcripts (MP3 recommended).

Q: What is the difference between the initial and final job-fit report?
A: The initial report scores the candidate based on resume, cover letter, and psychometric test. The final report (after interviews) includes interview performance in the score.

Q: What is the Candidate Explorer?
A: The Candidate Explorer uses AI to compare up to 5 candidates across resumes, interviews, and test results. You can ask it to compare, summarize, or generate reports for clients.

Q: How is the successful candidate selected?
A: If automations are enabled, the candidate with the highest job-fit score who has completed interviews is automatically selected and notified as the successful candidate.

Q: Can I regenerate a job-fit report?
A: Yes, click the regenerate job fit badge if you believe the score/report is inaccurate. Review AI settings if issues persist.

Q: How do I customize rejection emails?
A: Go to HRO > Org > Templates and edit the rejection email template.

Q: What is outreach?
A: Outreach tools help you source candidates internally or externally and generate suggested messages for outreach.
